Job Description: Personal Assistant


Overview

We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our executive team and enhance their productivity. The ideal candidate will excel at managing schedules, coordinating travel arrangements, and handling various administrative tasks with efficiency and discretion. This role requires exceptional communication skills and the ability to anticipate the needs of senior executives.

Responsibilities

Calendar Management: Maintain and organize executive calendars, scheduling meetings, appointments, and events as needed.

Travel Coordination: Arrange domestic and international travel logistics, including flights, accommodations, and ground transportation.

Communication Management: Serve as the primary point of contact for internal and external communications, screening calls and emails and responding on behalf of executives when appropriate.

Document Preparation: Draft and edit correspondence, presentations, reports, and other documents as requested by executives.

Administrative Support: Provide general administrative support, including managing correspondence, filing documents, and maintaining office supplies.

Meeting Preparation: Assist with meeting preparation by compiling agendas, preparing materials, and coordinating logistics.

Expense Tracking: Track and reconcile expenses, process reimbursements, and maintain accurate records of expenditures.

Confidentiality Maintenance: Handle confidential and sensitive information with discretion, ensuring confidentiality at all times.

Errands and Special Projects: Assist with personal errands and ad-hoc projects as requested by executives.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or related field (preferred).
  • Proven experience as a personal assistant or executive assistant, supporting senior-level executives.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong communication skills, both written and verbal, with a professional demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management software.
  • Attention to detail and accuracy in all tasks, including document preparation and data entry.
  • Discretion and professionalism when handling confidential information and sensitive matters.
  • Flexibility and adaptability to changing priorities and environments.
