Job Description: Executive Assistant


We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will be adept at managing calendars, coordinating travel arrangements, and handling confidential information with discretion. This role requires exceptional communication skills and the ability to anticipate the needs of senior leadership.


Calendar Management: Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.

Meeting Coordination: Coordinate and prepare materials for meetings, take minutes, and follow up on action items as needed.

Communication Liaison: Serve as the primary point of contact for internal and external communications, including phone calls, emails, and correspondence.

Travel Arrangements: Coordinate domestic and international travel logistics, including flights, accommodations, and ground transportation.

Document Preparation: Draft and edit correspondence, presentations, reports, and other documents on behalf of executives.

Information Management: Organize and maintain electronic and paper files, ensuring easy access to important documents and information.

Expense Management: Process expense reports, reconcile receipts, and track expenses against budgets.

Confidentiality: Handle confidential and sensitive information with discretion and maintain confidentiality at all times.

Special Projects: Assist with special projects and initiatives as assigned by executives, providing research, analysis, and administrative support.


  • Bachelor’s degree in Business Administration, Communications, or related field (preferred).
  • Proven experience as an executive assistant or administrative assistant supporting senior-level executives.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent written and verbal communication skills, with a professional and courteous demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management software.
  • Attention to detail and accuracy in all tasks, including document preparation and data entry.
  • Ability to work independently with minimal supervision and adapt to changing priorities.
  • Discretion and professionalism when handling confidential information and sensitive matters.
